1Getting Started

There's nothing to sign up for and no password to remember. Treantly emails you a personal portal link — it's yours alone, so please don't forward or share it. Clicking it takes you straight into your portal, already showing your team's timesheets.

If more than one person at your company reviews timesheets, each of you gets your own separate link. Anyone with a valid link can act on any of your company's assigned Treantly Assistants — there's no extra step to "claim" a request first.

💡

Depending on how your account is set up, you may also get periodic email reminders that include the same link, or your timesheets may be reviewed automatically without needing your action at all — your Treantly account manager can tell you which applies to your company.

💡

The portal's sidebar has a Manual tab alongside Timesheets and Leave Requests — this document lives there too, with a table of contents and search, so you can look something up without leaving the portal.

If your link ever stops working, you'll see this screen:

Invalid link screen reading This link is invalid or has been deactivated, please contact Treantly
This means the link was deactivated on Treantly's side — reach out and they'll send you a new one.

2Reviewing & Approving Timesheets

Your portal opens on the Timesheets tab. The left sidebar lists each Treantly Assistant assigned to you — click a name to see just their timesheets, or leave All TAs selected to see everyone at once. Use the Year, Month, and Period dropdowns at the top to jump to a different pay period.

💡

History in the portal only goes back so far — periods before that aren't listed in the dropdowns at all, rather than showing up empty. If you need older records than what's available, reach out to your Treantly account manager.

Two timesheets awaiting review — each shows total hours, an overtime tag if applicable, and Approve/Flag buttons.

Click anywhere on a timesheet's row to expand it and see the day-by-day detail: dates, time in/out, type, hours, and any remarks — the row toggles open and closed each time you click it, and you can have several expanded at once.

A timesheet row, collapsed. The hours pill, status, and action buttons — including Download — are all visible without expanding.

Each expanded row shows a summary strip (Total Hours Worked, Expected Hours, and Overtime if any) above the day-by-day table, so you can see at a glance whether the period looks right before checking individual days.

A timesheet expanded: the summary strip (Total Hours Worked, Expected Hours, Overtime, and Agreed weekly) sits above the full day-by-day table — dates, time in/out, type, and hours for every day in the period.
💡

On-Call Hours only appears for staff with on-call time logged that period — most clients won't see this at all. If it applies to your account, an On-Call Hours table shows below the day-by-day table when you expand a timesheet, listing the date, time, and hours for each on-call entry that period — hours only, no dollar amounts, same as the rest of the view.

Click Download on any timesheet — expanded or not — to get a printable copy of that period's hours for your own records. It opens your browser's print dialog; choose "Save as PDF" there to download a file instead of printing. Only hours are included, never pay amounts.

Each timesheet shows one of these statuses:

StatusWhat it means
Awaiting ReviewSubmitted and waiting on you.
Approved / ✓ Payroll CompletedYou (or Treantly) approved it — once payroll has processed it, the badge changes to a green "Payroll Completed" confirmation.
Auto-ApprovedNobody acted on it within the wait period (see below), so the system approved it on your behalf. Same effect as clicking Approve yourself — just a different badge so you can tell the two apart.
FlaggedYou raised an issue — Treantly has been notified with your note.
Under ReviewTreantly is double-checking something internally before it comes back to you.

To approve, simply click Approve. There's nothing else to fill in, and it takes effect right away.

⚠️

Timesheets are automatically approved after 5 days if you haven't acted on them — a reminder banner at the top of the page tells you how many are waiting. If you want to review something yourself, don't let it sit for more than five days. If your account gets periodic email reminders instead of one per timesheet, the 5 days count from when that reminder email went out, not from when the Treantly Assistant originally submitted.

3Flagging an Issue

If something looks wrong — hours that don't match the agreed schedule, a day that shouldn't be on there, or anything else — click Flag instead of Approve.

Flag an Issue dialog with a required description field, filled with an example issue
Flagging an issue: describe what's wrong in a sentence or two — this goes straight to Treantly.

A short description is required — this is what Treantly's team sees when they follow up with you. Click Submit when you're done, or Cancel to back out without flagging anything.

💡

You can still flag a timesheet after approving it, if you notice something later — as long as that pay period hasn't already been fully processed by Treantly. If it has, the Flag button is replaced with a note asking you to contact your account manager directly instead, since the portal can no longer make that change itself.

4Leave Requests

Switch to the Leave Requests tab to review time-off requests from your team. Each entry shows the employee, leave type, dates, and number of days requested.

A pending request awaiting your decision, an approved one with the option to walk it back, and a declined one showing why.

For a request that's still pending, you have two options:

Decline Leave Request dialog with a required reason field
Declining requires a short reason, so the employee understands why.

Changed your mind about a request you already approved? Click Rescind — it opens the same kind of short form, just titled for reversing an approval instead:

Rescind Approval dialog with a required reason field
Rescinding an approval also asks for a short reason, and reopens the request as declined.
💡

Once a request is declined, that's final on this portal — there's no button to change it back a second time. If it was a mistake, ask your Treantly account manager to help sort it out.

5Tips & Troubleshooting

SituationWhat to do
My link says it's invalid or deactivated. Contact your Treantly account manager for a fresh link — this usually just means the old one was rotated out on their side, not that anything is wrong with your account.
I approved something by mistake. Flag the timesheet, or Rescind the leave approval, with a short note explaining what happened.
I want to flag a timesheet, but the button is missing and there's a note about payroll being finalized. That pay period has already been processed on Treantly's end. Reach out to your account manager directly to report the discrepancy — the portal can no longer make that change itself.
A colleague at my company also needs to review timesheets. Ask your Treantly account manager to add them as an approver — they'll get their own personal link, separate from yours.
I didn't act in time and a timesheet auto-approved itself. You can still flag it afterward if you spot an issue, as long as that pay period hasn't been fully processed yet.
